Your data is held securely on the Club FilemakerPro database. It consists of information supplied by the Club, by you, occasionally by the University or your College, and from public sources. It may include sensitive personal data. If at any time you wish to change the fact of, or extent of, use of your personal data, or no longer wish to receive a specific communication, please contact us at:

Purposes for which your data may be used

Unless you request otherwise, Vincent’s Club may use the data held in Filemaker to communicate with you by mail, e-mail, telephone, fax or text message, including the distribution of publications, the promotion of benefits and services, notification of events and for specific programmes, including fundraising.

The data will not be passed without your permission to individuals other than those acting for the Club. It is Club policy that all such individuals must first sign a data protection form and take adequate measures to protect the security of your data. The Club does not sell any data to third party organisations.

You have the right under the DPA to object to the holding of your data on the system, or the use of your data for any or all of the above purposes. Please contact the Administrator if this is the case. If you request that your data are removed from the Club database we will remove all personal data, except your name, year of joining, college(s) attended, subject(s) studied, sport(s) and year(s) of matriculation. We will also retain the request to remove your data to prevent you from being inadvertently contacted in the future, and a note of any historical gifts for auditing purposes.

We aim to keep your data current and for only so long as they are relevant. Please let us know if your details need updating at any time. Alternatively, you will soon be able to amend your details via our website at http://vincents.org/

Your rights to access your personal data

As a data subject, under the DPA you have rights of access to the personal data held about you by any data controller. If you wish to access the personal data held about you on the Club database please contact the Administrator.

Freedom of Information

The University is subject to the requirements of the Freedom of Information Act 2000, and as an affiliated Club Vincent’s is also subject to it. Whilst lists of donors may be made public, the amounts donated need not be. The University has further information at http://www.campaign.ox.ac.uk/foi
